Job Description

The Curriculum and Methods of Instruction (C&I) Department at the College of Education seek a skilled, pro-active and detail-oriented administrator. The successful candidate will be responsible for ensuring that the operations of the Department run smoothly, efficiently, and are coordinated with other departments and offices to achieve the College goals. The duties include: Assisting faculty within the Department Coordinating with departments and offices within the College Coordinating with departments and offices outside of the College including entities external to the University Coordinating and assisting with Department events, e.g. preparing attendance sheets, sign-up forms, satisfaction surveys, preparing the publicity flyers/materials and preparing the technical aspects required for online/hybrid events. Ordering refreshments for events and coordinating with UOD for publicity etc. Take lead in admin-related paper work asked for by senior and upper management (excel sheets, spreadsheets, list of publications of faculty, KPIs, etc). Following office workflow procedures to ensure maximum efficiency. Maintaining files and records with effective filing systems Supporting other teams with various administrative tasks Work proactively on publicity/marketing of programmes. Managing the ordering of printing and gifts Assisting with recruitment of faculty and students Setting up appointments for meetings with local/international partners/colleagues Assisting Academic Advisors in the Consulting Unit during the registration period Communicate with the Admission and Registration Department. Responding to Student inquiries. Organizing and following up the matters with regards to the Dean’s office Organizing appointments Assisting the Chair of Department in all administrative duties Collecting data from faculty each month in relation to the business plan Preparing correspondence, reports or other documents from rough drafts Preparing agendas and organizing meetings Attending meetings and taking minutes Collating information from faculty e.g. minutes of meetings, and ensuring that all materials are stored in a safe and easily accessible way Upholding and carrying out University/College policies and procedures Any other task assigned by the Chair of Department.

Minimum Qualification

Bachelors degree Proficiency in spoken and written English and Arabic
