Administrator
The Administrator provides comprehensive administrative support to Assistant Dean for Research and Graduate Studies at the College of Medicine and Health Sciences (CMHS). This role is vital in ensuring the smooth and efficient coordination of both research and graduate studies activities within the college. The position involves managing communications, organizing documentation, coordinating events, maintaining accurate records, and serving as a liaison between internal and external stakeholders. The Administrator also provides essential support for graduate program operations and graduate students. Job Description/Responsibilities: • Manage the daily operations of the Assistant Dean’s office, including calendar scheduling, appointment coordination, and travel arrangements. • Prepare and edit official reports, memos, meeting agendas, and presentation materials. • Maintain accurate and well-organized electronic filing systems for research and graduate studies documentation. • Monitor and respond to emails and inquiries related to research and graduate programs in a timely and professional manner. • Assist in the documentation and submission of research proposals and grant applications; ensure all supporting materials meet university requirements. • Track ongoing research projects, publications, and grant funding in coordination with relevant university offices. • Support the organization of research seminars, workshops, and other scholarly events. • Help prepare data and summaries for institutional reporting and strategic planning in the area of research. • Ensure confidentiality and proper recordkeeping for all research-related materials. • Assist in coordinating the administrative aspects of graduate programs within the college, including admission processes, course offerings, student tracking, and graduation requirements. • Maintain up-to-date records of graduate students, faculty advisors, thesis submissions, and program milestones. • Liaise with the College of Graduate Studies and other relevant units to ensure alignment with university policies and timelines. • Support student communication by preparing notices, announcements, and updates related to graduate academic affairs. • Organize events related to graduate programs such as student orientation, thesis defenses, workshops, and seminars. • Help compile and format data for accreditation reviews and graduate program evaluations. • Act as the primary administrative point of contact between the Assistant Dean’s office and other university departments, faculty members, graduate students, and external partners. • Coordinate meetings, take minutes, and follow up on action items with relevant stakeholders. • Assist in building and maintaining databases for faculty research profiles and graduate student activities. • Uphold the highest standards of confidentiality, accuracy, and professionalism in all aspects of work. • Perform other duties as assigned to support the strategic goals of the office and the College.
